The Venue Can Make Or Break Your Corporate Event

Blog

Want great attendance at your next corporate event? It could come down to the venue and its location. If you want a successful and well-attended seminar, meeting, retreat, or other gathering, consider some tips when planning and choosing the venue. The venue can make or break a corporate event; here is what you should know:

Keep It Near Work

That is, make sure that the event venue is in a convenient locale for your team and staff and that they won't have to travel far or to unfamiliar areas to attend. Try to keep the schedule within typical work hours, too, so that attendees won't need to schedule late childcare or have other accommodations to attend.

Make Sure It Is Accessible

For those that don't drive, what is the public transportation situation like near the venue? Is there parking for those that do have vehicles? This is information you need in advance when planning the event. Also, consider whether you might hire a shuttle or cars to bring participants; it really comes down to the nature of the corporate event and your budget.

Evaluate the Venue Yourself

Speaking of accessibility, take the time to evaluate the venue for yourself. Your guests and participants may require accommodations to access the event and venue. Check out the bathrooms, entrances, and other areas to ensure that attendees, support staff, and speakers have full accessibility and accommodations to safely attend your event.

Feed Your Guests

Offer your attendees and participants good food to encourage attendance. Talk to venue staff about catering, and discuss dietary requests, restrictions, or allergies that your guests may have. If the venue does not offer a full kitchen for food prep, local catering may be a viable option, depending on your budget. Reconsider sending attendees out for lunch on their own as it can slow down the day's agenda waiting for their return, and you may lose some participants that choose to exit early.

Offer Some Amenities

If your event venue has some alluring amenities—like a lounge, restaurant, or green room—it may be more enticing to attend. Think about the location of the venue and what is nearby to try and attract participants to the corporate function.

Reward Attendance

Reward those that attend the corporate event with a swag bag, some promotional merch, or a giveaway. These can encourage attendance and may motivate your guests to stay until the end too.
